Frequently asked questions about the platform

What is ProcuraHQ?

ProcuraHQ is a B2B commerce and procurement platform. Buyers source with RFQs and reverse auctions, order from supplier catalogues against approval rules and budgets, record what actually arrives, and pay only when the invoice reconciles with the order and the goods receipt. Suppliers publish catalogues with variants, kits and configurable builds, price them per customer, and sell into buyers' own procurement systems.

Is this for buyers or for suppliers?

Both, and usually the same account is both. An account can run its own purchasing and publish a catalogue that other accounts buy from. Permissions are per account, so a team member can be given purchasing rights without catalogue rights, or the reverse.

What is a three-way match, and why does it matter?

It is the check that an invoice agrees with the purchase order and with what was actually received before anyone pays it. ProcuraHQ enforces it on the payment itself, so an invoice that bills for more than arrived, or at a price that does not match the order, cannot be paid without someone recording an explicit reason. Quantity and price tolerances default to zero, so an exact match is required until you decide otherwise.

How do reverse auctions work?

You invite qualified suppliers to bid on a lot, and they bid the price down over a set window. Each supplier sees their own bid and their rank, never a competitor's number. A bid placed near the close pushes the close out, so a supplier cannot win on timing alone, and a reserve price means a lot that never reaches your number simply goes unawarded.

Can I keep my negotiated prices per customer?

Yes. Contract price lists attach to a specific buying account and apply automatically when that customer shops, so there is no separate quoting process to keep in sync and no risk of a contracted buyer seeing list price.

Does the catalogue handle variants and configurable products?

Yes. A parent product can have variants that each carry their own SKU, price, stock and lead time. You can also sell fixed kits, which ship as one priced line with a bill of materials underneath, and configurable builds where the buyer chooses an option per slot and each option carries a price difference.

Can enterprise buyers reach my catalogue from Ariba or Coupa?

Yes, through cXML PunchOut. Each buying organisation gets its own credentials, shops your catalogue from inside their procurement system, and returns the cart to their own approval chain as a requisition.

How is the audit trail different from an activity log?

Entries cannot be updated or deleted by any database role, including ours, and each entry is hash-chained onto the previous one. That means an alteration made by something that bypasses those controls is still detectable, and verification names the entry where the chain broke. Each entry also records whether a change was made by a user or by the platform acting on their behalf.

Do you offer a free plan?

Yes. The free plan covers a small catalogue and one open RFQ at a time. Trade credits, public RFQs and higher catalogue and member limits unlock on paid plans, and the limits are enforced by the platform rather than being advisory.

Can I cancel or change plan at any time?

Yes. You can upgrade, downgrade or cancel from your account billing settings, and quota changes take effect against your account immediately.
